About This Opportunity: As a Concierge Scheduling Agent, you’ll coordinate and manage the end-to-end scheduling process for imaging services by delivering exceptional customer service and ensuring timely, accurate coordination of referrals and appointments. You will serve as the primary point of contact for members throughout the scheduling process, collaborating with clients, providers, and internal teams to facilitate a seamless experience while supporting access to quality, cost-effective imaging services. Build positive relationships with members and provider partners, educate members on the Valenz Imaging program, and contribute to operational excellence through effective communication, case management, and attention to detail.

Things You’ll Do Here:

  • Manage the end-to-end member scheduling process for imaging services, ensuring timely coordination of referrals, appointments, and related communications.
  • Collect and verify member demographic information, insurance eligibility, and benefit coverage to support accurate scheduling and service delivery.
  • Coordinate imaging appointments with provider facilities based on member needs, provider availability, and client requirements.
  • Serve as the primary point of contact for members throughout the scheduling process, providing exceptional customer service and timely updates regarding appointment status and scheduling details.
  • Facilitate communication among members, imaging providers, clients, and internal departments to ensure efficient coordination and resolution of scheduling needs.
  • Educate members on the Valenz Imaging program, scheduling process, and available imaging options to promote engagement and informed decision-making.
  • Confirm appointments with members and providers, communicate appointment details, and document scheduling activities in applicable systems.
  • Support patient case management activities by monitoring scheduling progress, identifying barriers to timely care, and coordinating resolutions with appropriate stakeholders.
  • Build and maintain professional relationships with imaging providers and clients to promote collaboration and a positive service experience.
  • Assist with claims-related activities and administrative support functions as needed to ensure continuity of operations.
  • Support the growth and utilization of the Valenz Imaging program by delivering a high-quality member experience and promoting available services.
  • Utilize internal systems and other departmental tools to accurately document member interactions, scheduling activities, and case information.
  • Collaborate with cross-functional teams to improve operational efficiency and ensure a seamless member experience.
  • Perform other duties as assigned.

What You’ll Bring to the Team:

  • High school diploma or equivalent require.
  • 2+ years of experience in healthcare scheduling, patient access, medical office operations, customer service, or a related healthcare support role required.
  • Experience verifying insurance eligibility, benefits, referrals, or prior authorizations preferred.
  • Experience working in a fast-paced, customer-focused environment with multiple priorities.
  • Demonstrated commitment to providing exceptional customer service and creating a positive member experience.
  • Strong verbal and written communication skills with the ability to interact professionally with members, providers, clients, and internal teams.
  • Excellent organizational skills with the ability to prioritize tasks, manage multiple cases simultaneously, and meet established service level expectations.
  • Strong attention to detail and accuracy when entering data, scheduling appointments, and documenting member interactions.
  • Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information in accordance with HIPAA and company policies.
  • Ability to identify scheduling barriers, resolve routine issues, and escalate complex concerns when appropriate.
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Teams.
  • Ability to learn and effectively utilize scheduling platforms, electronic health record (EHR) systems, customer relationship management (CRM) tools, and other healthcare software applications.
  • Ability to work collaboratively in a team environment while also managing responsibilities independently.
  • Strong problem-solving skills and adaptability in a dynamic healthcare environment.

  • Associate degree in healthcare administration, business, or a related field.

  • Location: You must be US based, in a location where you can work effectively and comply with company policies such as HIPAA.
